How do I archive my Exchange Mailbox?

Archiving your mailbox on a regular basis will improve Outlook and mailbox performance. Especially if you receive regular large attachments.


By default, archiving within Outlook will only archive the Inbox, whereas the sent items typically take a lot of space up.

If you have Outlook 2010 please do the following:


  1. Click File
  2. Click "Cleanup Tools"
  3. Select "Archive" from the menu.
  4. Select your Exchange Mailbox (not the inbox below it, which outlook will choose by default)
  5. Click OK.


Depending on how much email you have, this may take a few minutes to an hour or more.

This will make all emails older than 3 months get moved to the archive folder, which is not synchronized to your Blackberry, or kept on the Blackberry server, freeing up mailbox space for your exchange account.


You will still be able to read the older emails by looking in the Archive Inbox on the left in outlook, usually it is placed at the bottom of the Mailbox List.
